Office Manager / Personal Assistant
Salary: £40,000 per annum
Location: Near Feltham, London
Hours: 42.5 hours per week, Monday to Friday
 
We are looking to recruit for a busy accident repair centre located near Feltham, dedicated to providing high-quality automotive repair services.
Job Description: We are seeking a competent and experienced Office Manager / Personal Assistant to join the team. The successful candidate will play a pivotal role in ensuring the smooth operation of the office and supporting various departments within the company.
Key Responsibilities:
1.Office Management:
·Oversee the daily operations of the office, ensuring efficiency and organization.
·Manage office supplies, equipment, and facilities to maintain a conducive working environment.
·Implement and improve administrative processes to optimize workflow.
2.Customer Liaison:
·Act as a primary point of contact for customer service inquiries and concerns.
·Coordinate with customers regarding repair updates, scheduling, and any additional requirements.
·Ensure prompt and professional communication to uphold customer satisfaction.
3.Interdepartmental Coordination:
·Facilitate communication and collaboration between various departments, including parts procurement, vehicle damage assessors, and customer service.
·Coordinate with team members to ensure timely completion of repair projects and customer expectations are met.
4.Estimate Management:
·Follow up on repair estimates, ensuring accuracy and timely delivery to customers.
·Collaborate with the estimating team to address any discrepancies and provide clarification as needed.
5.Invoice Verification:
·Review and verify invoices for accuracy, ensuring alignment with repair services rendered.
·Liaise with accounting personnel to resolve any discrepancies and ensure timely payment processing.
Requirements:
·Proven experience in a similar role within the automotive industry, particularly in a bodyshop environment.
·Familiarity with Vehicle Management Systems (VMS) is highly desirable.
·Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
·Excellent communication and interpersonal abilities, with a customer-focused approach.
·Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
·A proactive mindset with the ability to anticipate needs and take initiative.
