Fleet Administrator


Working Hours for the Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator:
Monday to Friday 8.00am - 5.00pm ( 40 Hours per week )

Salary – £22,000pa - £25,000pa

Location – Kent


Organised and energetic Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator required for their Kent depot.

As our clients are looking for a Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator you will assist the Depot Manager to manage the workshop to ensure a profitable & efficient site that meets or exceeds customer expectations.

Emphasis will be placed on maintaining vehicles to manufacturers and client’s service level agreements, whilst also ensuring all vehicles remain fully complainant with all current and pending legislation, ensure vehicle up time is maximised.

Supplier management is a key element of the Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator, reviewing all estimates / quotation to ensure correct repair times, and parts costs and relevant discounts have been applied.


Responsibilities of the Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator:

·Client service levels are maintained to the highest standards
·All Incoming Phone Calls are answered within three rings
·All emails will be responded to within 60 minutes
·Client updates are to be provided at regular intervals until completion of the vehicle and its returns to service (minimum once a day)
·Manage suppliers to ensure rapid response and turnaround of LH Fleet, obtain regular updates (minimum once a day)
·All operational vehicles are maintained in a legal, & fully compliant condition
·Schedule and confirm to clients vehicles appointments
·Emergency Breakdown Assistance
·Client Recharges, ensure client recharges are completed
·Ensure defect log is completed
·Maintain communication with third party warranty providers
·Health & Safety legislation is observed at all times
·Ensure maximum vehicle up time is achieved
·Review and challenge suppliers invoice accuracy
·Communicate / Engage with Clients and Staff to build in team work.
·General desk and office housekeeping is improved and maintained
·Undertake any reasonable request made by a member of Management
·Review system status reports to ensure no job has missed being completed.
·Update job times for fitters for each job worked on from clock cards.
·Control & monitor clock machine with reference to start time, breaks, and finish times.
·Ensure that the parts are available for the job at the correct time
·Ensure parts used are booked out accurately to the job.



Skills and Qualifications of the Fleet Administrator / Administrator / Transport Coordinator / Transport Planner / Transport Administrator / Service Administrator / Logistics Coordinator:

·Excellent organisational skills
·Previous administration experience advantageous
·Good knowledge of IT Office software
·A keen eye for detail
