My Client one of the leading Truck and Van Hire companies are looking for a Fleet Administrator / Tender and Quotes Administrator for their depot in Bristol.

The role as Fleet Administrator / Tender and Quotes Administrator is to assist the department with detailed Tender response via procurement portals to Local Authorities and Commercial Companies regarding all aspects of the vehicle quoting and tendering submissions and to add additional administrative support to the purchasing function.

The ideal Fleet Administrator / Tender and Quotes Administrator should have:

·Good knowledge of vehicle specifications (van and heavy commercials)
·Experience and be able to prepare / complete ITT and PQQ submissions via third party portals
·Previous practical engineering / motor vehicle experience
·Knowledge of the transport industry
·Excellent communicator with the ability to build relationships quickly with all levels of people
·Self-motivated, with good attention to detail
·Flexibility - in order to meet deadlines, but be adaptable to changing circumstances and deadlines
·The ability to understand and interpret the customer requirements
·Competent - in the use of Excel, Word, Outlook, Powerpoint and web based procurement portals

Job Summary for the Fleet Administrator / Tender and Quotes Administrator:

·Manager multiple bid portals
·Research and analyse tender opportunities, present to management for decisions
·Read through legal contracts, highlight areas of concern and negotiate amendments
·Prepare ITT / PQQ responses as directed
·Work with colleagues across group to obtain relevant information for bids
·Edit and proof read all documentation prior to submissions, ensuring bid and proposal is formatted and presented in a professional manner
·Successfully work on multiple PQQs and ITTs simultaneously in a high-paced environment, often with short turn around times
·Arrange printing, binding and despatch or upload to portal within deadlines
·Maintain database
·Analyse post tender feedback ensuring future submissions are improved
·Notify key stakeholders of tender awards / losses
·Create key contract information documents
·Obtaining prices from manufacturer to enable quoting
·Obtaining prices from suppliers to include repair and maintenance arrangements
·Obtaining residual value guarantee quotes
·Involvement in the preparation of vehicle specifications
·Compilation of quotations and technical data summaries
·Build up of contract folders once business is won
·Vehicles are ordered to correct specification
·Update Quote logs
·Analysing multiple R&M spend data sets
·Prepare contract hire quotatations
·Ensure SLA's for return of quotations are met
·Filing and general office admin

The working hours for the Fleet Administrator / Tender and Quotes Administrator are 40 hours per week (08:30 - 17:30 with an hour for lunch)

The salary for this Fleet Administrator role is £25000.00 to £30000.00 depending on skills and experience.
